The formula our planners run for every cocktail hour - and where hosts most often over-order.

Every event starts with the same question. How many canapés do we actually need? The answer isn't a fixed number. It depends on your guest list, the event schedule, and whether dinner follows. While online calculators can offer a starting point, we've found that real experience tells a much more accurate story.
After catering hundreds of weddings, private parties, and corporate events, we've developed a simple approach. For cocktail receptions before dinner, we usually recommend five to seven canapés per guest. If canapés are replacing a full meal, that number increases to around twelve to fifteen. The goal isn't simply serving more food. It's making sure guests always have something fresh to enjoy throughout the event.
More than just numbers
Every celebration has its own pace. A one-hour drinks reception requires a different serving strategy than a three-hour networking event. Evening receptions often include richer selections, while afternoon gatherings benefit from lighter seasonal bites.
